Refund policy

K-WAYSA Refund & Cancellation Policy

At K-WAYSA, we carefully plan and organize every experience in advance, including campsite reservations, transport, staffing, activities, food preparation, and logistics. Because of this, all bookings are subject to the cancellation and refund terms below.

By purchasing a ticket, guests agree to this policy.


1. BOOKING CONFIRMATION

Your booking is only confirmed once:

  • payment has been successfully received, and

  • you receive an official booking confirmation from K-WAYSA.

K-WAYSA reserves the right to decline or cancel bookings at its discretion.


2. DEPOSITS

All deposits are non-refundable.

Deposits secure:

  • campsite reservations,

  • transport planning,

  • staffing,

  • food preparation,

  • and operational logistics.

If a guest fails to complete the remaining balance payment by the specified due date, K-WAYSA reserves the right to cancel the booking without refund of the deposit.


3. CANCELLATION & REFUND POLICY

More Than 30 Days Before Departure

Guests may cancel their booking and receive:

  • up to 80% refund of payments made (excluding deposits and processing fees).


14–29 Days Before Departure

Guests may cancel and receive:

  • up to 50% refund of payments made (excluding deposits and processing fees).


Less Than 14 Days Before Departure

No refunds will be issued.

This includes:

  • no-shows,

  • missed transport departures,

  • late arrivals,

  • voluntary cancellations,

  • or unused portions of the experience.


4. TICKET TRANSFERS

Guests may transfer their booking to another person up to 7 days before departure, subject to:

  • written approval by K-WAYSA,

  • successful transfer of all booking information,

  • and any applicable administrative fees.

K-WAYSA reserves the right to refuse transfers where necessary for operational or safety reasons.


5. PAYMENT PLAN DEFAULTS

Guests using payment plans remain responsible for the full ticket amount.

Failure to complete installment payments by the due date may result in:

  • cancellation of the booking,

  • forfeiture of deposits and prior payments,

  • and release of the ticket back to public sale.


6. WEATHER & ENVIRONMENTAL CONDITIONS

Camping and outdoor experiences are weather-dependent.

Trips will proceed in most weather conditions unless K-WAYSA determines conditions are unsafe.

Unfavorable weather conditions including:

  • rain,

  • wind,

  • cold temperatures,

  • or environmental discomfort

do not qualify for refunds.

K-WAYSA reserves the right to:

  • adjust itineraries,

  • modify activities,

  • substitute locations,

  • or reschedule portions of the experience
    for safety or operational reasons.


7. EVENT CHANGES & RESCHEDULING

K-WAYSA reserves the right to:

  • change venues,

  • adjust itineraries,

  • modify accommodation,

  • substitute activities,

  • or reschedule dates
    when reasonably necessary due to operational, safety, environmental, supplier, or force majeure circumstances.

If K-WAYSA cancels an event entirely and no rescheduled date is offered, guests may receive:

  • a credit voucher,

  • transfer to another experience,

  • or partial/full refund at K-WAYSA’s discretion.


8. FORCE MAJEURE

K-WAYSA shall not be held liable for cancellations, delays, losses, or changes caused by circumstances beyond reasonable control, including but not limited to:

  • extreme weather,

  • natural disasters,

  • fires,

  • floods,

  • road closures,

  • pandemics,

  • government restrictions,

  • supplier failures,

  • strikes,

  • civil unrest,

  • or transportation disruptions.

Under such circumstances, refunds are not guaranteed.


9. TRANSPORT POLICY

Guests are responsible for arriving at designated departure points on time.

K-WAYSA is not responsible for:

  • missed departures,

  • personal transport delays,

  • traffic-related lateness,

  • or costs incurred due to missed transport.

No refunds will be issued for missed departures.


10. GUEST RESPONSIBILITY

Guests participate in all activities voluntarily and are responsible for:

  • following safety instructions,

  • acting respectfully,

  • and ensuring they are medically fit for participation.

K-WAYSA reserves the right to remove any guest from the experience without refund for:

  • dangerous behavior,

  • harassment,

  • illegal activity,

  • excessive intoxication,

  • or conduct affecting the safety or enjoyment of others.


11. REFUND PROCESSING

Approved refunds may take:

  • 7–14 business days
    to process depending on payment provider timelines.

Processing fees and transaction fees may be deducted where applicable.
